A graded card without a grading number in the record is just a card with a plastic case. The grade is what creates the value differential — and without documentation, that differential disappears the moment the card changes hands.

Authentication Fields

Grading # is the primary authentication reference. PSA, BGS, and SGC each assign unique certification numbers that can be verified against their registries. A graded 1952 Topps Mickey Mantle without a documented grading number is an unverified claim; with it, it's a verifiable asset.

Serial # handles numbered parallels — cards printed in limited runs of 25, 10, or 1. The serial number is stamped on the card itself and is unique by definition. For short-print parallels, this number is the card's identity, more specific than the card number or player name alone.

Card front and back photo fields close the documentation loop. The back of a graded card shows the grade, the certification number, and the slab ID — all of which should match the record.

The Catalog Structure

Set Manufacturer, Year, and Card # form the catalog identity. A 1996 Finest Refractor isn't just identified by the player — it's identified by the manufacturer (Topps), the year, the subset (Finest), and the specific card number within that set. Without all four, "1996 Finest Refractor" could refer to any of dozens of cards.

Sub-Set captures insert sets, parallels, and special series within a main set. Card Type goes further — rookie, veteran, base, parallel, autograph — distinguishing cards that share a set and player but differ significantly in collector demand.

Memorbillia Type documents jersey swatches, patch pieces, bat fragments, or other embedded relics. A single-color jersey swatch and a prime multi-color patch from the same player are different products at different price points, and the field makes that distinction explicit.

Valuation

Current Value is a point-in-time market estimate — not a fixed price. Sports card values fluctuate with player performance, career milestones, and market cycles. Updating this field periodically keeps the collection's estimated value accurate for insurance, estate planning, or sale timing decisions.
